Warehouse Operations Manager (On Hold)

Responsible for the safe and efficient, receipt, storage and despatch of warehoused cargo. Ensure efficiency and continuous improvement.

Requirements:

Knowledge & Experience

  • Matric / Grade 12
  • At least 10 years experience within a Logistics environment, warehousing industry
  • 5 years experience in warehouse management
  • A working knowledge and understanding of the impact on other areas within a branch

Duties and Accountabilities:

Day to day Operations

  • Plan and supervise the workflow in a warehouse
  • Ensuring that all products, items, or materials received are sorted, labeled, and stored in an orderly fashion according to company policies and standards
  • Issuing lists of incoming shipments and items and handing them to receiving personnel
  • Plan and organize cargo and items at proper places in a warehouse
  • Assisting warehouse employees with their tasks when necessary
  • Hire and provide training for new employees
  • Maintain and manage inventories accurately
  • Create awareness of system and procedural changes with employees
  • Ensure all workload is planned before execution
  • Ensure that all sub-contractors are aware of specific requirements in your planning process
  • Ensure all staff is properly attired with PPE’s
  • Ensure work is carried out with accordance with the health and safety requirements
  • Staff recruitment
  • Manage staff discipline
  • Ensure that all work is carried out with accordance with the clients requirements
  • Ensure that cargo is received and stored as per procedure
  • Ensure that cargo is handled with outmost care
  • Upon receipt of cargo, all damages are recorded as per procedure (recording and photographs)

  • Minimise theft of cargo
  • Ensure no cargo is damaged whilst in the company’s care
  • Ensure that the warehouse is kept neat and tidy at all times
  • Make sure that all cargo in the warehouse has a stock
  • Stock counts and cycle counts

  • Equipment management and care

Finance

  • Manage labour cost
  • Manage labour cost
  • All operational staff are through a labour broker – source the number of staff required as per the workload
  • Manage equipment cost
  • Follow and monitor the equipment maintenance and monitor repairs
  • Manage admin cost
  • Monitor telephone cost on a monthly basis
  • Monitor stationery cost
  • Manage warehouse income
  • Check every P&L statement before invoice posting
  • Manage warehouse expenses
  • Record all income and expenses in a statement
  • Prepare Warehouse forecasts and budgets

Manage Client Relationship (Internal/External)

  • Carry out request set out by management
  • Client cost evaluations and feasibility studies
  • Telephonically, emails on specific instructions and packing list which will assist in the planning process
  • Communicate with customers and colleagues in a polite manner and provide all relevant information as requested
  • Process instructions timeously to maximize customer experience and service thereby ensuring there is a minimal impact to the office
  • Create meaningful working relationships to ensure a positive end result of all deliveries
  • Understand the impact on other areas should relationships be unamicable

Quality Management

  • Action and monitor all operational requirements
  • Monitor expenses and question expenses
  • Respond to all communication channels eg. Emails , faxes , telephonically as quick as possible
  • Meeting with staff
  • Making quick and cost effective decisions
  • Always obtain better quotation
  • Respond to all correspondence with proof of communication
  • Analyse data and provide insights

Risk Management

  • Documentation and authorisation
  • Verify correctness of all prepared documentation prior to execution
  • Verify authenticity for all payments and requisitions
  • Prevention and Recovery of Losses
  • Identify risk areas, detect possible losses and take the necessary action to prevent same prior to the event
  • Speedily liaise with all relevant parties in order to recover any losses successfully
  • Timeously advise Office Manager of any possible losses that may occur
  • Regular stock and cycle counts
  • Bond Store audits
  • Operate within SOP’s
